Call for bids to host the 2012 World Volunteer Conference (EXPIRED)

The International Association for Volunteer Effort, a nongovernmental, not for profit organization calls for bids from interested organizations to host the 2012 World Volunteer Conference.

IAVE World Volunteer Conferences are unique events in the world of Volunteering. They are occasions when all those involved in the sector can meet to celebrate and to share their knowledge and understanding of this great world movement. The conferences attract distinguished international speakers, expert trainers and presenters and leaders from the worlds of volunteering, NGOs, researchers, government and the corporate sector. The World Volunteer Conferences provide opportunities for policy makers, professionals and grassroots volunteers to interact.

CONFERENCE THEME: Each IAVE conference is different, each special in its own way. Yet each builds on what has gone before and forms part of a unique history. The 22nd conference will be no exception. The host organization, with the approval of IAVE, will decide on a theme for the conference.

The theme will be such that it will elicit discussions on a wide range of core issues of policy and practice and within general and thematic contexts.

FORMAT: At the conference there will be Plenary Sessions, Forums, Exhibition and Workshops. The conference will be preceded by a very dynamic Youth Conference.

GUIDELINES FOR SUBMITTING A PROPOSAL FOR THE 2012 CONFERENCE

Please tell us about the organization which will give leadership to the conference

  • Name
  • Contact person and title
  • Contact information: address, telephone, fax, email, web site
  • Description of the organization’s purpose
  • Overview of the organization’s activities
  • Scope of operations (international, national, local
  • Size of the organization: number of paid and volunteer staff, budget
  • Source of the organization’s funds
  • Names and positions of members of the Board of Directors
  • To what extent do the organization’s board and staff reflect the diversity of its country?

    Please tell us your plans about the 2012 conference

  • Proposed dates
  • Proposed location (both city and the specific venue or describe the process to be used in selecting a venue)
  • Planned number of delegates (from host country, from immediate region and from rest of the world)
  • Estimated registration fee to be charged and what it will include.
  • Estimated budget, including projected expenses and projected revenue
  • Projected sources of revenue and percentage of total revenue (registration fees, government support, contribution within host country, international contributions, etc)
  • Number and nature of scholarships to be offered.
  • Languages to be provided
  • Any anticipated “patrons” or “sponsoring committee”
  • Membership and structure of the host committee
  • Nature, number and source of paid staff and volunteers working on conference planning and management
  • Preliminary ideas about theme, nature of the programme etc.
  • Why will this be an important meeting in your country at this time? What ongoing benefits would you expect your country to gain from hosting the conference
  • Are there any factors which would restrict participants from attending the conference in your country (transportation difficulties, visa restrictions, lack of facilities for people with disabilities)
  • Describe how the planning, management and execution of the conference will reflect the diversity of the host country.
  • Please describe what help, if any, you anticipate receiving from the IAVE secretariat.

    Applications may take the form of your choosing but must include all of the information requested above and must include a formal resolution of commitment from the Board of Directors of the host country.

    In addition to submitting your bid by email, four hard copies of the bid and all supporting documents should be sent to Dr. Rose Ekeleme by courier to reach her not later than 15th of September. A decision on the winning bid will be made by the IAVE Board of Directors in October 2009. The host organization will be expected to sign a jointly negotiated memorandum of understanding with IAVE, a draft copy of which can be viewed below.
