Notice of Filming and Photography

By registering for the conference you are consenting to attend an event where photography, audio, and video recording may occur.

By attending the event, you consent to interview(s), photography, audio recording, video recording and its/their release, publication, exhibition, or reproduction to be used for news, web casts, promotional purposes, telecasts, advertising, inclusion on websites, social media, or any other purpose by IAVE, VSO and its affiliates and representatives. Images, photos and/or videos may be used to promote similar IAVE and VSO events in the future, highlight the event and exhibit the capabilities of IAVE and VSO. You release IAVE and VSO, its officers and employees, and each and all persons involved from any liability connected with the taking, recording, digitizing, or publication and use of interviews, photographs, computer images, video and/or or sound recordings.

By attending the conference, you waive all rights you may have to any claims for payment or royalties in connection with any use, exhibition, streaming, web casting, televising, or other publication of these materials, regardless of the purpose or sponsoring of such use, exhibiting, broadcasting, web casting, or other publication irrespective of whether a fee for admission or sponsorship is charged. You also waive any right to inspect or approve any photo, video, or audio recording taken by IAVE, VSO or the person or entity designated to do so by IAVE and VSO.

You have been fully informed of your consent, waiver of liability, and release before entering the conference.

Cancellation and Refund Policy

For cancellation received by March 31, 2019, a refund of 50% of the registration fee will be made. For cancellation received after March 31, 2019, no refund will be made. All cancellation requests must be sent to [email protected].

Transfer of Registration

Paid registrations can be transferred to another individual who qualifies for the same registration category and fee, for no extra charge. The original registrant must email [email protected] to initiate the transfer.

Late Arrival and Early Departure

No refunds will be made or credits given for late arrival or early departures from the conference.

Use of Personal Data

Personal data collected about you in accordance with Section “Collection of personal data” above may be used to verify your identity and eligibility, to provide information to you in your field of interest that we believe may be of interest to you, to record your interest in services that we offer, and to respond properly to your requests for information.

Furthermore, we may use such personal data to contact you in order to announce news, new services or events (including by way of telephone, e-mail, SMS, or fax), for service improvement studies or for internal research.

IAVE and VSO may use the personal data stored about you jointly with its national member societies, other closely affiliated organizations or event/business partners. In cases where we believe that additional services may be of interest to you, we may share your personal data with business partners of IAVE and VSO to the extent permitted by and in accordance with the applicable law. We may also disclose this information to firms that perform services on our behalf to the extent permitted by applicable law. IAVE and VSO cannot guarantee, and is not responsible for, the confidentiality of any communication or material transmitted via such open networks. In particular, while individual data packets are often encrypted, the names of the sender and recipient are not.

Even if both the sender and recipient are located in the same country data may also be transmitted via such networks to other countries regularly and without controls, including countries that do not afford the same level of data protection as your country of domicile.

Your data may be lost during transmission or may be accessed by unauthorized parties. We do not accept any liability for direct or indirect losses as regards the security of your data during its transfer via Internet. Please use other means of communication if you think this is necessary or prudent for security reasons.

Right to Information

Upon written request to [email protected], IAVE will notify you of all the personal data it stores about you. You may also request that any incorrect or incomplete personal data stored about you be corrected or that the personal data hold stored about you be deleted.

In addition to the ways of data collection set out in Section “Collection of personal data”, we may also collect personal data about you by sending cookies to your computer.
